Leave Processing – Fiscal Year End

Good Afternoon,
Attached, please find the Fiscal Year-End Leave Processing Overview document. The steps for closing out the current fiscal year in preparation to roll balances into the new year are outlined in the document.
Key dates:
* Now – Prepare and send notifications to employees as a reminder to turn in leave slips by a set deadline in May or June. It is especially important to reach employees who will not be on campus once the school year ends and summer break begins in addition to employees who have been working remotely. This step provides sufficient time for districts to receive and input leave data to close out the fiscal year. * July 12 – Last day to input prior year Leave transactions. * July 13- Last day to Roll Leave Balances forward into the new fiscal year. (Submit request by 4 p.m.) * July 14 – First day to Grant Leaves for the new fiscal year.

In-Person Instruction (IPI) Grant Reminders Based on recent press accounts, we thought it would be a good idea to recirculate the IPI Grant frequently asked questions<link.edgepilot.com/s/a4b93a3f/7HZeICe4u0utRiA2RO1WGw?u=https://www.cde.ca.gov/ls/he/hn/covidgrantsfaqs.asp%23ipmain> and remind recipients of the following: Education Code (EC) Section 43521(c)(3) lists the pupils that must be offered in-person instruction in order to retain IPI Grant eligibility, regardless of their assigned school:
* Prioritized pupil groups listed in EC Section 43521(c)(4); * All elementary pupils (or all pupils in grades K-2 if in the purple tier); and * All pupils in at least one full grade level for middle and high schools (unless ineligible based on the COVID-19 industry sector guidance). The IPI Grant LEA Certification Form (online data collection) must be completed at the LEA level at which the grant is allocated. LEAs may reference the preliminary allocation<link.edgepilot.com/s/bde8a2dc/Vfgk1Gz8o0aF1ZtKGmd1yQ?u=https://www.cde.ca.gov/fg/fo/r14/documents/ipielo20estalloc1.xlsx> to identify charter schools that require separate LEA Certification Form responses. The Certification of In-Person Instruction – Daily section of the form must be completed at the LEA level. In order for a respondent to select Instructional Day, In-Person Instruction Offered, the LEA must have offered in-person instruction to all pupils identified in EC Section 43521(c)(3). In-person instruction may include hybrid models offering fewer than five days per week of in-person instruction, provided that the LEA is offering in-person instruction to the greatest extent possible, pursuant to EC Section 43504(b). LEAs must also offer in-person instruction on a continuous basis through the end of the 2020-21 school year, according to the adopted calendar in effect on March 1, 2021, in order to retain their IPI Grant eligibility. The LEA Certification Form is required by EC Section 43521(c)(5), and is due to the CDE on or before June 1, 2021. If in-person instruction has been implemented as defined in statute, the LEA must retain documentation that verifies and substantiates the information provided in the LEA Certification Form. IPI Grant funds are subject to the LEA’s annual audit. LEAs that are forfeiting their IPI Grant must still complete the LEA Certification Form so that August 2021 apportionments may be reduced accordingly. CANCELLED & REMINDER: SBO Meeting – May 27

Hello School Business Professionals,
Since we had our Special LCAP, Budget Overview for Parents, etc. meeting last week, we have decided to cancel the SBO Meeting that was scheduled for this upcoming Thursday, May 27. We know how very busy everyone is during this time of year.
REMINDERS . . . take your EPA Budget and the Excess Reserves Form to your board by June 30.
If we have other items that we need communicate to districts, we will schedule a targeted meeting for any topics that need to be addressed in the coming weeks.
