Escape deposit process update
Attention: District Staff Responsible for Deposits
The County of Santa Barbara is transitioning to a new financial system, Workday. This should have little impact to districts since the system is accessed by SBAS staff only to record cash transactions in the county treasury (TTC).
Please be aware of the following changes to the current deposit process beginning Aug 1st, 2025. The SBAS website<sbasweb.sbceo.org/finance/deposit-processing> will have updated instructions reflecting these changes below:
1. Auto-Post Deposit Entries – Currently deposits entered in Escape are routed to Audit status for SBAS to post, but beginning Aug 1st, they will-auto post once approved by the district. These posted deposit entries in Escape will be automatically uploaded to Workday every 15 minutes.
1. Walk-Ins – All cash/checks taken to a physical location for deposit will require that a deposit entry be POSTED prior to dropping it off with the TTC Offices. Deposits must be dropped in a sealed armored bag to be accepted – No loose cash or checks. 2. Negative Deposit Amounts (e.g., deposit corrections) – All negative receipts MUST be entered as a Z-type deposit transaction in Escape. If a negative deposit is entered as anything other than a Z-type, they will not upload to Workday which will result in a reconciling item with the Treasurer. 3. AR 06 – Receipt Detail Report – no longer required to be sent to our office.
